1. General provisions

1.1. This Policy sets out how the personal data of users of the Lettersail online English school website (the Website) is processed and protected.

1.2. Personal data controller: the Lettersail online school. Contact for data processing matters: info@lettersail.jimagie.com.

1.3. This Policy applies to all personal data that the Controller receives when the Website is used.

1.4. The request is submitted by a parent or legal guardian of the child. By submitting the form, the user gives consent to the processing of personal data by a separate action. The text of the consent to personal data processing is published on a separate page.

2. What data is processed and why

• Trial lesson request form. Data: name, phone number, child's age. Purposes: contacting the user to book a trial lesson, agreeing a convenient lesson time, choosing a group by the child's age and level. Retention period: 12 months from the date of submission.
• Consent record. Data: date and time, version of the consent text, page of submission. Retention period: 12 months from the date of submission.
• Technical data. Data: IP address, browser and device information, date and time of requests. Purpose: operation and security of the Website. Retention period: no longer than needed for security.

The IP address is not stored with the request. The data is not used for mailings unrelated to the user's request.

3. Legal basis

Data from the request form is processed on the basis of the user's consent. Technical data is processed to ensure the operation and security of the Website.

4. Cookies and third-party services

4.1. The Website uses cookies and the browser's local storage. A choice in the consent banner is required for operation. This data is not used for tracking.

4.2. Third-party services (for example maps, video, analytics) are connected only after the user's consent in the banner on the Website. Before consent there are no requests to the servers of third-party services. At the date of this edition no third-party services are connected to the Website. When one is connected, the IP address and browser information are passed to that service, and the list of services is added to this Policy.

4.3. The choice can be changed at any time with the "Consent settings" link at the bottom of the page. Cookies can be deleted or blocked in the browser settings, in which case some functions of the Website will stop working.

5. Data transfer

5.1. Personal data is not sold and is not passed to third parties for their own purposes.

5.2. Data may be received by contractors without whom the Website cannot work: the hosting provider, the mail service and message delivery services. They receive data to the extent necessary for their service and on terms of confidentiality.

5.3. Data is stored on servers located in Germany.

5.4. Data is disclosed at the request of competent authorities in cases provided by law.

6. Retention periods

The request and the consent record are stored for 12 months from the date of submission, or until consent is withdrawn if that happens earlier. After that the data is deleted.

7. User rights

7.1. The user has the right to obtain confirmation of processing and information about it, to receive a copy of their data, to demand that it be corrected, blocked or deleted, to object to processing, to withdraw consent at any time, and to lodge a complaint with the competent data protection authority or a court.

7.2. To exercise these rights it is enough to send a request to info@lettersail.jimagie.com. The request is considered within the period set by law. Withdrawal of consent does not affect the lawfulness of processing before withdrawal.

8. Data protection

The Website works over HTTPS. Access to data is limited to authorised persons. The request form is protected against automated submissions and limited by request rate.
